We offer a luxury Signature Concierge Care service to all clients who choose to work with us. This means we will be your dedicated go-to from start to finish, handling all the details so you can focus on enjoying your vacation. Because we take a limited number of clients per month and per year, we are able to provide elevated, personalized service, especially while you are in destination.

To maintain this level of exclusivity we do charge a non-refundable Planning Package or Expedited Planning Package for trips within 90 days of departure, holidays, or for clients needing priority service.

Our Signature Concierge Care includes:

PROPOSAL DETAILS:

■ All detailed research, planning and itinerary details from the time you hire us until you come home.

■ Ongoing follow up and support via email and text the entire time answering all your questions during our business hours.

■ We will send the first and best proposal with our top recommendations followed by a text.

■ If needed, we will send 2 additional options.

■ Total package pricing, deposit amount, due dates, all taxes, fees, transfers, flights, resort and what payment plans are available.

■ Top recommendation for your room at preferred resort, based on your preferences.

 

INSURANCE: We include insurance quotes that protect your investment. It is optional but HIGHLY recommended.

Need a quote?

■ Insurance will be on its own line item.

■ Our Planning Package and Expedited Planning Package can be included in the coverage when you opt in.

■ Always non-refundable.

■ If you opt out, there will be a waiver for you to sign at the time of booking.

■ If you have insurance through another source, please forward it to us for your file.

 

FLIGHTS: We are full service travel advisors and happy to offer flight options within the package on preferred airlines.

■ Airfare is available 330 days prior to travel.

■ We recommend purchasing airfare 4-8 months prior to travel depending on time of year.

■ We do not book basic economy, restrictive fares or low cost carriers.

■ If you wish to go with a non-recommended class of service or budget airline, you will need to book airfare on your own.

■ We will always quote the best fare available with appropriate connection times in Main Cabin, Premium or First Class cabins per your request.

■ If you have a preferred airline, please let us know.

■ If you have points to use, you will have to purchase airfare on your own. Send a copy of the flight to us prior to booking to ensure appropriate connection times.

■ We track flights during your travel days.

■ We can and will assist with your airfare issues if it cannot be resolved at the airport, regardless of how it is booked as long as we have the record locator.

■ For Charter Flights ONLY, we include pricing that includes luggage costs and seat pricing so you can choose your optimal seat.

 

ADDED EXTRAS: Prior to departure, we are happy to assist with pre-booking all or some of your extras, if the resort allows it.

■ Offsite Excursions: personalized ideas for your travel party

■ Wellness Services: Arrange in-room massages, spa appointments, personal training, private yoga instruction

■ Dining: Some destinations allow for reservations before arrival. We will make dinner reservations and/or book something offsite for a unique experience in the area

■ Tickets, Shows and Sporting Events

■ Celebrations

■ Upgraded Amenities: private transfers, drinks in the transfer, VIP airport service or lounge options if available.

■ Photography: find, arrange and book a photographer on or off property for you and your travel party.

■ Childcare: Arrange childcare onsite or find a local service

■ Meeting with the Chef: Arrange a meeting for special meals or allergies

 

PAYMENTS: Please note that until a deposit is placed on the booking, the proposal pricing is dynamic, it can and will change. It is imperative that prior to sending a proposal, you are prepared to place your deposit within 3 calendar days, as it can fluctuate even during that time. If the pricing changes, we will discuss your options.

Deposits: Typically there is a deposit due right away for the hotel, insurance, and full payment of airfare at the time of booking.

● Payment Plan: A customized payment plan can be arranged.

● Final Payment: Depending on the vendor, it can be due from 45-90 days prior to departure.

● Final Payment Reminders: If we are traveling when your payment is due, we will request it in advance to ensure there are no issues while we’re away. Additionally, we request final payment at least one week before the vendor’s due date to avoid any potential complications.

THINGS TO KNOW BEFORE YOU GO: Approximately 2 weeks prior to travel you’ll begin receiving information from us to prepare for your vacation.

● Travel Documents with Confirmation Number: 1-2 weeks prior to travel, these will be emailed depending on the vendor

● Transportation Info: name of company, phone number and a voucher.

● Detailed Itinerary if extras were purchased.

● Customized Packing List: Based on weather, destination and time of year

● Destination Information: The must do excursions, restaurants and hidden gems in the area

● Manager Email: 1 week before you arrive at your destination, we confirm all the details and email the hotel, transfers and excursions with your information, celebrations, allergies, etc.

CHECK IN SCHEDULE DURING TRAVEL: The week of travel, we will be checking in often via text. We are available via text or WhatsApp during your vacation in case of questions, concerns, travel delays or issues with transportation, hotel, airline, etc. Please inform us right away if you have any issues during travel!

● 7 days prior to travel

● Morning of travel and when you arrive

● 3rd day of the trip

● The day before you leave paradise

● Welcome home 2 or 3 days after trip

WHILE YOU ARE AWAY: We do our best not to schedule personal travel while you are traveling; however, sometimes it cannot be avoided.

● 24/7 concierge care during your vacation.

● If we are unavailable, we will send another agent’s details for emergencies.

● Provide emergency contact info from the vendor, insurance, hotel and airline.

 

OUR WORKING HOURS:

● Noon to 5pm Eastern time (9am-2pm Pacific time) Monday thru Friday (we will be available 24/7 1 week before you travel and during your vacation until you get home)

● Response time is 24-48 hours M-F, except during your vacation.

● If you need to reach us outside of those hours, please request an appointment as we work from home and have a 3 and 4-year-old. 

● If we are traveling, we will respond to all emails when we return

 

Things we do not do: We do not price match online tour companies, compete with fellow advisors, show a "breakdown" of pricing for a package, except insurance details.
